Overview
This Cancellation & Refund Policy applies to engagements with Weblume Labs LLC, including security audits, vulnerability assessments, authorized penetration testing, security configuration, recommendations and reports, remediation planning sessions, re-test and validation passes, and security awareness briefings. Engagements are services delivered to a written scope; they are not physical goods and nothing is shipped.
If your Engagement Agreement sets different cancellation or refund terms, the Engagement Agreement controls.
How payment works
Starting prices on the Site are not charges. Nothing is billed from the Site or the intake form. Fees are agreed in writing after a fit review and are invoiced under the Engagement Agreement. Depending on size, an engagement may be invoiced as a deposit before scheduling with the balance due on delivery, or in agreed milestones.
Before an engagement is accepted
Submitting an intake request is free and creates no obligation. You may withdraw an inquiry or decline a proposal at any time without charge.
Cancelling after acceptance
You may cancel an accepted engagement by written notice to network@weblumelabsllc.com. Because we reserve testing windows and specialist time for you, the following applies unless the Engagement Agreement says otherwise:
- More than 7 days before the scheduled start: full refund of any deposit paid
- 3 to 7 days before the scheduled start: deposit refunded less 25% of the engagement fee as a scheduling charge, never more than the amount paid
- Fewer than 3 days before the start, or no-show: deposit is retained as a reservation fee
- After work has begun: you pay for work performed and non-cancellable costs incurred up to the notice date, measured against the agreed scope; any remaining prepaid balance is refunded
Rescheduling
You may move a start date once without charge with at least 5 business days’ written notice, subject to our availability and to the time windows in the rules of engagement. Further changes, or changes on shorter notice, may be treated as cancellation and rebooking. If a change in your environment, such as a freeze, outage, or change of ownership, makes the original authorization or window unusable, we will work with you on a new date.
When we may cancel or pause work
We may pause or cancel an engagement if written authorization is missing or withdrawn, if access promised to us is not provided, if testing would create unacceptable risk to people or systems, or if we discover that in-scope systems are not owned or controlled by the party who engaged us. In those cases we will stop work promptly. We refund any prepaid amount for work not yet performed, and we may charge for work already completed and for reasonable, documented third-party costs.
Refund eligibility
Fees are refundable as described above, and in these situations:
- We are unable to deliver the agreed scope for reasons within our control, in which case you receive a refund of the fees for the undelivered portion
- A deliverable materially departs from the agreed scope and we are unable to correct it after one reasonable revision round
- You were charged in error or twice for the same invoice
What is not refundable
Refunds are not available for:
- Work already performed and delivered in line with the agreed scope
- A disagreement with a finding, severity rating, or conclusion that is supported by the documented evidence
- Scope the client chose not to use, or access, windows, or contacts the client failed to make available
- Testing that found few or no issues, since a clean result is a valid outcome
- Fees for additional scope approved in writing and completed
- Third-party costs that were passed through at cost with your approval
Revisions and corrections
Starting prices include one revision round on written recommendations. If a report contains a factual error, we will correct it at no charge. Requests to materially expand a report beyond the agreed scope are quoted separately.
Re-test and validation passes
A re-test (ENG-07) is booked against a specific earlier engagement and one target class. If the original authorization has lapsed, it must be renewed in writing before the re-test begins. Cancellation terms above apply to the re-test booking.
How refunds are issued
Approved refunds are returned to the original payment method or by the method used for payment, normally within 10 business days of approval. Bank or processor timing may add further days. Currency conversion differences and any non-refundable processor fees are outside our control.
Disputes and chargebacks
If you have a concern about an invoice or deliverable, please contact us first so we can resolve it. We will acknowledge written concerns within 3 business days and aim to resolve them within 15 business days. Unresolved disputes are handled under the governing law and dispute provisions in our Terms of Service, which apply the laws of the Commonwealth of Kentucky.
